How to translate WhatsApp messages on PC — text, voice notes and photos

The options from free and manual to fully automatic, what each one does with your customers' messages, and tips for translations customers trust.

Updated · 3 min read

When customers write in a language you don't speak, every message becomes a small project. Here are the ways to translate WhatsApp on a computer, from simplest to fastest.

Quick answer: for the occasional message, copy it into an online translator. For daily conversations with foreign customers, use translation built into your WhatsApp setup — ideally one that also handles voice notes and photos, and translates on your PC so chats stay private.

Option 1: Copy and paste into an online translator (free, manual)

  1. Select the message in WhatsApp Web or WhatsApp Desktop and copy it.
  2. Paste it into an online translator and read the result.
  3. Write your reply, translate it, copy it and paste it back into WhatsApp.

Fine for: a few messages a day. Downsides: 20–40 seconds per message, easy to paste into the wrong chat, and your customer's text is sent to the translation website.

Option 2: A browser extension for WhatsApp Web

Translator extensions add a translate button or automatic translation to WhatsApp Web.

Fine for: one account and text messages. Downsides: usually one account only, voice notes and photos aren't covered, and most extensions send your messages to an online service to translate them. Check the extension's privacy policy before you use it with customer data.

Option 3: Translation built into a WhatsApp desktop app

Some desktop apps translate inside WhatsApp itself. GlotChat does it for every account you add:

  1. Incoming messages are translated automatically and shown under the original.
  2. Your replies are written in your language and translated before sending — you see the translation first.
  3. Voice notes: click Transcribe to turn a voice message into text and translate it.
  4. Photos: click Read text to read and translate invoices, price lists or screenshots.

Translation runs offline on your PC in 49 languages, so messages aren't sent to Google, DeepL or an AI service.

How to translate WhatsApp voice messages

A voice note has to be turned into text (transcribed) before it can be translated. On a phone you can play it next to a translation app's microphone, but that's slow and unreliable. In GlotChat, the Transcribe button under the voice note does both steps on your PC, for about 100 spoken languages.

How to translate text in photos and screenshots

Customers send photos of orders, receipts and documents. The text in the image must be recognised first (OCR), then translated. GlotChat's Read text handles Latin, Arabic, Cyrillic, Chinese, Korean, Thai and other scripts.

Tips for translations customers trust

  • Write short, clear sentences. One idea per sentence translates best.
  • Double-check numbers. Prices, dates, quantities and addresses matter most — make sure they're right in the translation preview.
  • Avoid slang and idioms in your own replies.
  • Keep the original. For anything important, scroll back to the customer's original message too.
  • Have contracts checked by a person. Machine translation is excellent for conversation; legal or medical wording deserves a human check.

FAQ

Quick answers

Can WhatsApp Web translate messages?

WhatsApp Web has no built-in translation. You need to copy messages into a translator, use an extension, or use a desktop app with translation built in, like GlotChat.

How do I translate a WhatsApp voice message on my computer?

Transcribe it to text first, then translate it. GlotChat does both with one click, offline, for about 100 spoken languages.

Is it safe to paste customer messages into online translators?

It sends the text to a third party. For personal, medical or financial details, use a translator that works offline on your own computer.
